Switching platforms? Here’s the playbook.
Moving your coaching business feels risky — clients mid-program, programs to rebuild, payments to untangle. This kit walks you through the whole switch, step by step, without losing a single client.
The honest comparison
What the same roster costs elsewhere.
Prices below are standard monthly rates published by each platform, checked July 2026. Always confirm against their live pricing pages before you decide.
| Platform | 5 clients | 50 clients | Nutrition coaching | Free tier |
|---|---|---|---|---|
| Synrgetic | $8.99/mo | $39.99/mo | Included on every plan | Yes — 1 client, free forever |
| TrueCoach | $29.98/mo | $164.98/mo | Included | No — 14-day trial |
| Trainerize | ~$22/mo (Pro) | ~$120/mo | Smart Meal Planner is a $45/mo add-on | 1 client |
| Everfit | Free tier | ~$79–95/mo | Partly via add-ons | Yes — up to 5 clients |
| PT Distinction | $19.90/mo (3 clients) | $89.90/mo | Included | No |
Worth knowing: TrueCoach also takes a 5% fee on every client payment processed through its platform (introduced January 2026), and Trainerize charges extra for in-app billing and its branded app. With Synrgetic, every feature is included in your plan — there are no paid add-ons.
The switching checklist
Ten steps to a clean switch. Most coaches complete this over two weeks.
1. Export your data — client list, programs and history from your current platform, before you cancel anything.
2. Audit your programs — list the templates and exercises you actually reuse. Most coaches find it’s fewer than 30 exercises.
3. Build your exercise guides once — in Synrgetic each guide (video, cues, progressions) is reusable across every client and plan, forever.
4. Set up your packages — recreate your session packages and pricing so bookings and tracking work from day one.
5. Pick a switch date — the start of a program block or billing cycle. Never move clients mid-program.
6. Pilot with 2–3 clients — your most engaged clients first. Iron out your workflow before the full move.
7. Announce the move — tell clients what’s improving for them: a free app with workout tracking, barcode-scanning nutrition logging and progress photos.
8. Move the rest in batches — invite clients as each one’s current program block ends.
9. Run both platforms for two weeks — keep the old subscription one extra cycle as a safety net.
10. Cancel and archive — cancel the old plan and keep your exported data somewhere safe.
