How to Switch Coaching Platforms Without Losing a Single Client

By Vishal, founder of Synrgetic. This playbook applies whichever platform you’re moving to – including if it isn’t mine.

Coaches stay on software they’ve outgrown for one reason: fear. Fear of losing client data, of confusing clients mid-program, of two weeks of chaos. That fear is rational – a badly-planned switch does cause churn.

But a well-planned one doesn’t. Here’s the process, refined into ten steps. Most coaches complete it in two weeks alongside normal coaching.

Phase 1: Before you touch anything (days 1–3)

1. Export your data first – before you cancel anything. Every platform is more generous with your data while you’re still paying. TrueCoach exports your client list as a CSV (names, emails, phones, birthdays and more) and workout history per client. Trainerize exports client contact details as CSV; programs can’t be exported, but you can save them as PDFs via Print. If there’s no export button for something you need, email support and request your data – UK/EU coaches can cite GDPR, Californians the CCPA.

2. Audit your programs. List the templates and exercises you actually reuse. Coaches consistently overestimate this – most discover their working library is fewer than 30 exercises and a handful of program templates. That’s an afternoon of rebuilding, not a mountain.

3. Pick your switch date. The start of a program block or billing cycle. Never move a client mid-program – it’s the single biggest cause of switch-related churn. If your clients are on rolling 4-week blocks, you have a natural migration window every month.

Phase 2: Build before you announce (days 3–7)

4. Set up the new platform completely – exercise library, program templates, packages and pricing – before any client hears about the change. Their first impression should be a finished home, not a building site.

5. Pilot with 2–3 clients. Your most engaged ones – they’ll forgive rough edges and tell you the truth. Run them for a few days and fix your workflow before the full move.

Phase 3: The move (days 7–14)

6. Announce it around what improves for them. Clients don’t care about your software costs. They care about: is this free for me? Is it easier? A message that works: “From [date] we’re moving to [platform] – it’s free for you, you can log food by scanning barcodes, and my video demos are attached to every exercise. Just download the app and tap my invite link.”

7. Move clients in batches as each one’s current block ends – not everyone on one chaotic Monday.

8. Run both platforms in parallel for two weeks. Keep the old subscription one extra cycle. It’s the cheapest insurance you’ll ever buy: any client who missed the memo still has continuity, and you can retrieve anything you forgot to export.

Phase 4: Clean exit (day 14+)

9. Confirm every client has connected on the new platform – chase the stragglers individually.

10. Cancel and archive. Cancel the old subscription and keep your exported files somewhere safe permanently.

The honest caveat: your history doesn’t come with you

No coaching platform imports another’s workout history – the data formats don’t match and none of them build importers for competitors. Anyone who claims otherwise: test it before you believe it. The practical approach: archive your exports, enter current key numbers (1RMs, latest measurements) as starting points, and let clients re-take baseline photos. Within a month, the new history is the one that matters.

Want the printable version?

This whole process – including platform-specific export instructions with screenshots-level detail, a copy-paste client announcement template, and a what-transfers table – is available as a free PDF: The Coach’s Switching Kit. And if you’re moving to Synrgetic, I’ll personally rebuild your exercise guides and program templates with you, free – that’s not a sales team promise, it’s just me. Reply to the kit email and we’ll sort it.

TrueCoach’s Reported 5% Payment Fee: What It Would Cost You Per Year

By Vishal, founder of Synrgetic. Yes, I run a competing platform – so check every number in this post yourself. They’re all from public pricing pages, checked November 2026.

Third-party reports say TrueCoach introduced a 5% fee on client payments processed through its platform in January 2026. Its pricing page lists free automated payments and no extra fees, so check with TrueCoach what applies to your account. Five percent sounds small. It isn’t – because unlike your subscription, it scales with your income, not your client count.

The maths nobody does

Your subscription is a fixed cost. A payment fee is a tax on growth. If the fee applies to you, here’s what 5% looks like at different income levels, on top of the $164.98/month (Pro, 50 clients) subscription:

Monthly client payments 5% fee/month Fee per year Fee + subscription per year
$1,500 $75 $900 $2,880
$3,000 $150 $1,800 $3,780
$5,000 $250 $3,000 $4,980
$8,000 $400 $4,800 $6,780

Read that last column again. A coach with a healthy $5,000/month roster is paying nearly $5,000 a year for software. That’s a month of your own revenue, every year, gone to your platform.

And here’s the part that stings: the fee rewards you for growing less. Raise your prices, sign a bigger client, sell a transformation package – the fee grows with every win, while the product you receive stays exactly the same.

“But every platform charges processing fees, right?”

Payment processors charge fees – Stripe, PayPal, your card terminal all take their cut, typically around 3%. That’s unavoidable; it’s the cost of moving money.

A platform fee is different. A 5% platform fee like the one reported for TrueCoach is charged by your coaching software, layered on top of whatever the payment processor takes. It’s not covering the cost of moving money – it’s a revenue share on your coaching business.

Your options

1. Absorb it. If your roster is premium-priced and TrueCoach’s workflow is deeply embedded in your business, $150–400/month might genuinely be worth it. Some businesses reach that point. Be honest about whether yours has.

2. Collect payments outside the platform. Invoice directly, use a standalone payment link, and keep TrueCoach for programming only. Workable – but now you’re running two systems and paying $164.98/month for half a platform.

3. Reconsider the whole bill. If you’re re-evaluating anyway, compare the full picture, not just the fee. A 50-client roster runs $39.99/month on Synrgetic with training, nutrition coaching, bookings, packages and business analytics included on every paid plan, with no paid add-ons. Clients can also pay you by card through your own Stripe account, and Synrgetic currently adds no platform fee on top of Stripe’s. The full head-to-head is here: Synrgetic vs TrueCoach.

If you decide to move

Don’t rage-quit mid-billing-cycle – a bad switch costs more than a bad fee. Export your data first (TrueCoach lets you export your client list as CSV, and workout history per client), pick a switch date at the start of a program block, and pilot with two or three clients before moving everyone.

We wrote the whole process up as a free, step-by-step Switching Kit – including exactly where the export buttons are, what transfers and what honestly doesn’t (no platform imports another’s workout history – anyone who claims otherwise, test it first), and a ready-to-send announcement message for your clients.

Prices and fees referenced are published rates checked November 2026 – always confirm against TrueCoach’s pricing page before making decisions.

Variety isn’t just the spice of life; it’s also key to a successful fitness regimen. Integrating different exercises and routines can prevent workout boredom and plateaus. However, consistency in the intensity and frequency of workouts is essential to achieve and maintain results.

Effective Strength Training Routines for Coaches

As a fitness coach, designing effective strength training routines for your clients is pivotal to their progress and your professional success. But how do you create workouts that are both effective and engaging, ensuring clients are satisfied and results are visible? Let’s dive into the principles and practices that make up effective strength training routines tailored for fitness coaches.

Understanding the Fundamentals of Strength Training

Strength training, at its core, involves exercises that build muscle, enhance endurance, and increase strength. Key components include resistance training, which can involve free weights, machines, or bodyweight exercises. The primary goal is to improve muscle function, which supports better performance in daily activities and reduces the risk of injury.

For successful strength training routines, coaches should focus on:

  • Progressive overload: Gradually increasing the weight, frequency, or number of repetitions in your client’s workout regimen.
  • Variety in training programs: Incorporate different exercises that target various muscle groups to avoid plateaus and maintain progression.
  • Individualized workout plans: Tailor routines to match the specific fitness levels, goals, and health conditions of each client.

Effective Strength Training Routines for Coaches

Let’s break down some effective strength training routines ideal for coaches aiming to optimize their clients’ performance:

1. The Compound Lift Routine: Focus on exercises like squats, deadlifts, and bench presses. These exercises engage multiple muscle groups, offering a full-body workout that improves overall strength and stimulates muscle growth.

2. Circuit Training: Combine several exercises performed in succession with minimal rest. This approach not only aids in strength-building but also enhances cardiovascular health, making it a dual-purpose routine.

3. High-Intensity Interval Training (HIIT): Intertwine short bursts of high-intensity exercise with less intense recovery periods. HIIT is particularly effective for burning fat while building muscle, making it an attractive option for clients with weight loss goals.

4. Rest and Recovery: Incorporate adequate rest days and recovery techniques such as stretching, foam rolling, and perhaps yoga sessions to ensure muscles fully recover and grow.

By integrating these strategies into your coaching, you not only enhance the effectiveness of your workouts but also provide a diverse and engaging experience for your clients, encouraging long-term commitment and progressive health benefits.

Using Technology to Enhance Training Routines

Advancements in technology offer coaches innovative ways to track progress and fine-tune training programs. Embrace apps like Synrgetic to manage multiple client accounts, track workouts, and personalize training plans efficiently. Utilizing these tools can save time and enhance the precision of your training recommendations.

Explore the app’s Coach Mode to gain insights into client workouts, dietary habits, and progress photos, all contributing to a more informed coaching approach that can be adapted in real time.

Conclusion

Effective strength training routines require a blend of well-planned exercises, individual customisation, and the strategic use of technology. By incorporating diverse training methodologies and utilising digital tools, fitness coaches can elevate their client’s fitness journey, paving the way for enhanced performance and satisfaction.
