How to Switch Coaching Platforms Without Losing a Single Client

Coaches stay on software they’ve outgrown for one reason: fear. Fear of losing client data, of confusing clients mid-program, of two weeks of chaos. That fear is rational – a badly-planned switch does cause churn.

But a well-planned one doesn’t. Here’s the process, refined into ten steps. Most coaches complete it in two weeks alongside normal coaching.

Phase 1: Before you touch anything (days 1–3)

1. Export your data first – before you cancel anything. Every platform is more generous with your data while you’re still paying. TrueCoach exports your client list as a CSV (names, emails, phones, birthdays and more) and workout history per client. Trainerize exports client contact details as CSV; programs can’t be exported, but you can save them as PDFs via Print. If there’s no export button for something you need, email support and request your data – UK/EU coaches can cite GDPR, Californians the CCPA.

2. Audit your programs. List the templates and exercises you actually reuse. Coaches consistently overestimate this – most discover their working library is fewer than 30 exercises and a handful of program templates. That’s an afternoon of rebuilding, not a mountain.

3. Pick your switch date. The start of a program block or billing cycle. Never move a client mid-program – it’s the single biggest cause of switch-related churn. If your clients are on rolling 4-week blocks, you have a natural migration window every month.

Phase 2: Build before you announce (days 3–7)

4. Set up the new platform completely – exercise library, program templates, packages and pricing – before any client hears about the change. Their first impression should be a finished home, not a building site.

5. Pilot with 2–3 clients. Your most engaged ones – they’ll forgive rough edges and tell you the truth. Run them for a few days and fix your workflow before the full move.

Phase 3: The move (days 7–14)

6. Announce it around what improves for them. Clients don’t care about your software costs. They care about: is this free for me? Is it easier? A message that works: “From [date] we’re moving to [platform] – it’s free for you, you can log food by scanning barcodes, and my video demos are attached to every exercise. Just download the app and tap my invite link.”

7. Move clients in batches as each one’s current block ends – not everyone on one chaotic Monday.

8. Run both platforms in parallel for two weeks. Keep the old subscription one extra cycle. It’s the cheapest insurance you’ll ever buy: any client who missed the memo still has continuity, and you can retrieve anything you forgot to export.

Phase 4: Clean exit (day 14+)

9. Confirm every client has connected on the new platform – chase the stragglers individually.

10. Cancel and archive. Cancel the old subscription and keep your exported files somewhere safe permanently.

The honest caveat: your history doesn’t come with you

No coaching platform imports another’s workout history – the data formats don’t match and none of them build importers for competitors. Anyone who claims otherwise: test it before you believe it. The practical approach: archive your exports, enter current key numbers (1RMs, latest measurements) as starting points, and let clients re-take baseline photos. Within a month, the new history is the one that matters.
