By Vishal, founder of Synrgetic. This playbook applies whichever platform you\u2019re moving to – including if it isn\u2019t mine.<\/em><\/p>\n

Coaches stay on software they\u2019ve outgrown for one reason: fear. Fear of losing client data, of confusing clients mid-program, of two weeks of chaos. That fear is rational – a badly-planned switch does<\/em> cause churn.<\/p>\n

But a well-planned one doesn\u2019t. Here\u2019s the process, refined into ten steps. Most coaches complete it in two weeks alongside normal coaching.<\/p>\n

Phase 1: Before you touch anything (days 1\u20133)<\/h2>\n

1. Export your data first – before you cancel anything.<\/strong> Every platform is more generous with your data while you\u2019re still paying. TrueCoach exports your client list as a CSV (names, emails, phones, birthdays and more) and workout history per client. Trainerize exports client contact details as CSV; programs can\u2019t be exported, but you can save them as PDFs via Print. If there\u2019s no export button for something you need, email support and request your data – UK\/EU coaches can cite GDPR, Californians the CCPA.<\/p>\n

2. Audit your programs.<\/strong> List the templates and exercises you actually<\/em> reuse. Coaches consistently overestimate this – most discover their working library is fewer than 30 exercises and a handful of program templates. That\u2019s an afternoon of rebuilding, not a mountain.<\/p>\n

3. Pick your switch date.<\/strong> The start of a program block or billing cycle. Never move a client mid-program<\/strong> – it\u2019s the single biggest cause of switch-related churn. If your clients are on rolling 4-week blocks, you have a natural migration window every month.<\/p>\n

Phase 2: Build before you announce (days 3\u20137)<\/h2>\n

4. Set up the new platform completely<\/strong> – exercise library, program templates, packages and pricing – before<\/em> any client hears about the change. Their first impression should be a finished home, not a building site.<\/p>\n

5. Pilot with 2\u20133 clients.<\/strong> Your most engaged ones – they\u2019ll forgive rough edges and tell you the truth. Run them for a few days and fix your workflow before the full move.<\/p>\n

Phase 3: The move (days 7\u201314)<\/h2>\n

6. Announce it around what improves for them<\/em>.<\/strong> Clients don\u2019t care about your software costs. They care about: is this free for me? Is it easier? A message that works: \u201cFrom [date] we\u2019re moving to [platform] – it\u2019s free for you, you can log food by scanning barcodes, and my video demos are attached to every exercise. Just download the app and tap my invite link.\u201d<\/p>\n

7. Move clients in batches<\/strong> as each one\u2019s current block ends – not everyone on one chaotic Monday.<\/p>\n

8. Run both platforms in parallel for two weeks.<\/strong> Keep the old subscription one extra cycle. It\u2019s the cheapest insurance you\u2019ll ever buy: any client who missed the memo still has continuity, and you can retrieve anything you forgot to export.<\/p>\n

Phase 4: Clean exit (day 14+)<\/h2>\n

9. Confirm every client has connected<\/strong> on the new platform – chase the stragglers individually.<\/p>\n

10. Cancel and archive.<\/strong> Cancel the old subscription and keep your exported files somewhere safe permanently.<\/p>\n

The honest caveat: your history doesn\u2019t come with you<\/h2>\n

No coaching platform imports another\u2019s workout history – the data formats don\u2019t match and none of them build importers for competitors. Anyone who claims otherwise: test it before you believe it. The practical approach: archive your exports, enter current key numbers (1RMs, latest measurements) as starting points, and let clients re-take baseline photos. Within a month, the new history is the one that matters.<\/p>\n
